The Australian Institute of Health and Welfare has five Groups: Economics and Health Services; Information and Strategy; Health; Housing and Disability; Social and Indigenous; and Business.
The Economics and Health Services Group provides statistical leadership, develops and compiles data, undertakes analyses and disseminates policy relevant statistical information about the financial and human resources used in health and welfare, and about key health services. The five Units within the Group cover subject matter including health and welfare expenditure, the health and community services labour forces, hospitals, mental health services, and the safety and quality of health care.

Job Description

This position requires people who are pro-active and have highly developed broad-spectrum office management skills.

DUTY STATEMENT

In accordance with Diversity and Participative management principles and under direction undertake one or more of the following tasks:

  1. Provide executive support for the Senior Executive of the Group, including assistance with the coordination of major projects.
  2. Maintain group registers and systems to manage the group's finances, including interrogating the Institute's financial management information system to produce reports on the financial performance and position of the Group.
  3. Assist the Senior Executive and Unit Heads with the arrangement and financial monitoring of external contracts.
  4. Liaison work on behalf of the Group with external and internal stakeholders as required.
  5. Prepare and coordinate purchasing for the Group, including maintenance of appropriate records.
  6. Coordinate travel and accommodation bookings for the Senior Executive and the staff of the Group, including maintenance of appropriate records.
  7. Take responsibility for specialist administrative support for the senior staff of the Group including managing group records, and organising meetings and conferences.
  8. Participate in other activities and projects related to the functions of the Group.

Selection Criteria

Important

  1. Demonstrated management ability with proven capacity for organisation and coordination.
  2. Proven ability to manage complex work priorities and meet time-critical deadlines with minimal supervision.
  3. A client service focus.
  4. Well-developed skills in document handling, the use of word processing and spreadsheet software, information systems, mailing lists and files.
  5. Well developed interpersonal and communication skills including a capacity to liaise effectively with senior officers of the Institute and representatives of government, Commonwealth and State departments and non-government agencies.
  6. Proven ability to work well in a complex team environment or independently.
  7. The ability to deal with travel administration for executive and other staff.
  8. Capacity to operate financial information management systems including an ability to produce executive level performance reports on particular elements of a program-structured budget.
  9. An appreciation of the principles and practice of Workplace Diversity, Participative Management and Occupational Health and Safety.
