These SHOR commonly asked questions are divided by category to help you find the answers you’re looking for, to assist staff in SHS agencies in accessing SHOR and uploading data for the SHS collection.

I’m a new user – how do I activate my SHOR account?

If your SHOR account was created by your organisation's SHOR administrator, it will be automatically activated.

If your account has been created by the AIHW, it will not be activated until you confirm your identity by telephone. This is to protect the security of your data.

The AIHW can only activate an account for the person who receives an email with the activation details.

  1. Have your User ID, Organisation ID and organisation name ready
  2. Call the AIHW Hotline on 1800 627 191, select option 2, and ask to activate your SHOR user account
  3. You will receive an email with your User ID and temporary password – use these to log in to the SHOR website (https://validatashsp.aihw.gov.au)
  4. Once you have logged in, you will need to create and verify a new password.

You will then be prompted to select a secret question and answer which will help you to get access to SHOR if you forget your password in the future – see How do I change my password? or How do I change my secret question?

How do I create a new user account in SHOR?

Only an organisation’s SHOR administrator can create new users and manage user accounts.

All users must have a unique email address. Addresses cannot be shared with other people. This is a security feature as new and reset passwords are emailed to users. 

If you are an administrator, please follow these steps before calling the AIHW Hotline for assistance:

  1. Log in to SHOR (https://validatashsp.aihw.gov.au) under the agency you are creating the account for
  2. Select User Management from the main menu in SHOR. The system will display all users who have a role attached to your agency/organisation
  3. Click on Create a new user
  4. Enter the new user’s full name, email address, and phone number, and Save
  5. Select your organisation type, organisation name, and Add a role to the user just created. Save. This will allow them access to your organisation on SHOR
  6. An email will be sent to the new user by Validata_NoReply@aihw.gov.au with a SHOR User ID and password

How do I switch roles in SHOR?

If you work for multiple agencies, you need to select your relevant role when uploading an extract, creating user accounts or checking the status of a submission on the SHS Summary tab.

Your User ID and password will remain the same regardless of how many roles you have.

  1. Log in to SHOR (https://validatashsp.aihw.gov.au) using your User ID and password
  2. Select the relevant agency role or check the top of the screen to see the role you are currently logged in under
  3. Click on Switch role next to the Logout button in the top right right of the screen to switch to another role.

NOTE: You do not need to log out of SHOR to switch roles. If your other role (agency) does not appear, you will need to contact your agency’s SHOR administrator. The administrator should follow the steps in How do I add additional roles to users in my organisation?

I don’t have all of the tabs I need when I log in to SHOR – what do I do?

If you only have the Home and eForms tab available when you log in to SHOR:

My organisation’s SHOR administrator is not available and I need a SHOR user account. What do I do?

You can contact the AIHW and request a SHOR account be created for you. Please note that, before doing so, the AIHW will contact a representative from your jurisdictional funding department to confirm that you require a SHOR account.

Alternatively, the AIHW can create an account for you on behalf of your agency’s SHOR administrator, provided s/he sends an email to giving permission for the AIHW to do so.

How do I add additional roles to users in my organisation?

Only an organisation’s SHOR administrator can add additional roles to a user’s SHOR account.

If you are an administrator, please follow these steps before calling the AIHW Hotline for assistance:

  1. Log in to SHOR (https://validatashsp.aihw.gov.au)
  2. Select and Save the role of the agency that you want to add the role for
  3. Go to the User Management tab and click on Add an existing user to my organisation
  4. Search for the user by their User Name – SHOR User Names are generally 8 characters long, beginning with the user’s last name, and always includes the first letter (or more) of their first name (this depends on the length of their  last name). These are automatically produced by SHOR
  5. Click on their User Name, (displayed in red font). The Add user role screen will appear
  6. From the drop-down menu, select the organisation type, organisation and role, and Save.

The user will now have access to this role (agency) next time they log in to their SHOR account.

How do I remove a role in SHOR when a user leaves my organisation?

For auditing purposes, all previous SHOR users remain in the system. However, you can deny them access to your organisation’s submissions by removing their roles. Only an organisation’s SHOR administrator can remove user roles in SHOR.

If you are an administrator, please follow these steps before calling the AIHW Hotline for assistance:

  1. Log in to SHOR (https://validatashsp.aihw.gov.au) under the agency role to be removed
  2. Go to User Management from the main menu in SHOR – this will bring up a list of users who have access to this role
  3. Select the user from the list by clicking on their username
  4. Click on Remove role to remove the user’s permission to view agency submissions. 
  5. If you need to remove more than one role from a user's account, select Switch role and follow steps 1-4.
